The rule

Keep creator tax records at least 3 years after filing in the US, 5 years after the 31 January deadline in the UK, and 8 years for receipts and invoices in Germany, counted from the end of the calendar year. Some records need longer.

Key facts

  • US: keep records that support your return until its period of limitations runs out, generally 3 years after filing; a return filed early counts as filed on the due date.
  • US: 6 years if you leave out income worth more than 25% of the gross income shown, 7 years for a bad debt or worthless securities claim, indefinitely if you file no return or a fraudulent one.
  • US: employment tax records at least 4 years after the tax is due or paid, whichever is later.
  • UK: keep self-employed records for at least 5 years after the 31 January submission deadline of the tax year; the penalty for failing to keep them is up to £3,000.
  • UK: VAT-registered businesses keep VAT records for at least 6 years.
  • Germany: books and records 10 years, Buchungsbelege such as receipts 8 years, business letters 6 years, each counted from the end of the calendar year.
  • Germany: the 8-year period applies to every document whose old period had not run out by 31 December 2024.

A creator's paper trail is wider than most: platform payout statements, brand deal contracts and invoices, tax forms from platforms and agencies, gifted product notes, equipment receipts, bank statements and, for some, a mileage log. Each country sets a minimum period for keeping them, and each starts the clock at a different moment. This page sets the three rules side by side from the IRS, HMRC and German federal law. Every source linked here was opened on 18 October 2026. It covers individuals taxed as self-employed, not companies. It is general information, not tax advice.

The deductions these records prove are covered in what creators can deduct.

How long do US creators have to keep tax records?

The IRS page How long should I keep records? (last reviewed 30 June 2026) sets the rule: keep records "that support an item of income, deduction or credit" on your return "until the period of limitations for that tax return runs out". Unless stated otherwise, the years run from the date the return was filed. "Returns filed before the due date are treated as filed on the due date."

The periods:

  • 3 years in the ordinary case.
  • 3 years from filing or 2 years from paying the tax, whichever is later, if you file a claim for credit or refund after the return.
  • 6 years if you do not report income you should have, and it is more than 25% of the gross income shown on the return.
  • 7 years if you claim a loss from worthless securities or a bad debt deduction.
  • Indefinitely if you do not file a return, or file a fraudulent one.
  • At least 4 years for employment tax records, after the tax becomes due or is paid, whichever is later. That matters once you pay an editor or assistant as an employee.

Equipment and other property. Keep records relating to property until the period of limitations expires for the year you dispose of it. A camera bought in 2025 and sold in 2030 needs its purchase invoice until the 2030 return's period runs out, because it is used to work out depreciation and the gain or loss on sale. Publication 463 (2025) adds that you must keep records of a car's business use "for each year of the recovery period".

Beyond tax. Once the IRS period ends, the page says to check if anything else needs the records: your insurer or creditors may want them longer.

What records should a US creator keep?

Publication 583 (12/2024) lists supporting documents: "sales slips, paid bills, invoices, receipts, deposit slips, and canceled checks". For gross receipts its examples include bank deposit slips, invoices, and Forms 1099-MISC and 1099-NEC. For expenses it lists canceled checks, account statements, credit card sales slips and invoices. For assets, purchase and sales invoices.

Two details from the same publication:

  • Bank statements can prove payment if they come from a financial institution and show the required details, but "proof of payment of an amount, by itself, does not establish you are entitled to a tax deduction". Keep the receipt or invoice that shows what the payment was for.
  • Electronic records are fine. "All requirements that apply to hard copy books and records also apply to electronic storage systems."

Mileage. Pub. 463's Table 5-1 says car expense records must show the cost of the car and improvements, the date you started using it for business, the mileage for each business use and the total miles for the year, plus the date, destination and business purpose of each use. Pub. 463 also says a record prepared on a computer is considered an adequate record.

What platforms report about you, and on which form, is set out in what platforms report about creators. Keep a copy of every form you receive with the income records it relates to.

How long do UK creators have to keep records?

GOV.UK's How long to keep your records says: "You must keep your records for at least 5 years after the 31 January submission deadline of the relevant tax year." Its own example: a 2022 to 2023 return sent online by 31 January 2024 means keeping records until at least the end of January 2029.

If you send a return more than 4 years after the deadline, you keep the records for 15 months after you send it. If records are lost or destroyed and cannot be replaced, you do your best to provide figures and tell HMRC whether they are estimated or provisional.

The statute behind this is section 12B of the Taxes Management Act 1970. For anyone carrying on a trade or profession, records must be kept to the fifth anniversary of the 31 January after the tax year, or until an HMRC enquiry into the return is completed, if that is later. They must include "all amounts received and expended in the course of the trade". They may be kept "in any form and by any means", though a few listed kinds of record must be kept themselves, not just the information in them. Failing to keep them makes you "liable to a penalty not exceeding £3,000" for the year.

VAT. If you are VAT-registered, VAT Notice 700/21, section 2.4: "Generally, you must keep all your business records for VAT purposes for at least 6 years." HMRC may agree a shorter period for some records if storage causes serious problems or undue expense. Section 2.1 adds that records forming part of your electronic account must be kept digitally in functional compatible software.

What records should a UK creator keep?

GOV.UK's What records to keep lists "all sales and income", "all business expenses", VAT records if registered, PAYE records if you employ people, "records about your personal income", and any Self-Employment Income Support Scheme grants. As proof it names receipts for goods and stock, "bank statements, chequebook stubs", and sales invoices and bank slips.

The overview page adds that from the 2024 to 2025 tax year cash basis is the default, so you record income and expenses when money moves. For a creator, that makes the platform payout statement and the bank deposit the core income records, and the brand deal invoice the link between them.

How long do German creators have to keep records?

§ 147 AO lists the documents in Absatz 1 and sets the periods in Absatz 3:

  • 10 years: "Bücher und Aufzeichnungen, Inventare, Jahresabschlüsse, Lageberichte, die Eröffnungsbilanz" and the instructions needed to understand them (Nr. 1), plus certain customs documents (Nr. 4a).
  • 8 years: Buchungsbelege (Nr. 4): receipts, invoices and other vouchers behind each entry.
  • 6 years: received business letters, copies of sent business letters, and "sonstige Unterlagen, soweit sie für die Besteuerung von Bedeutung sind" (Nr. 2, 3 and 5).

When the clock starts. Absatz 4: the period begins "mit dem Schluss des Kalenderjahrs" in which the last entry was made in the book, the statement was prepared, the letter was received or sent, the voucher arose or the other document was created. Every document from 2025 starts counting on 31 December 2025, whatever month it is dated.

When it does not end. The period does not run out as long as the documents matter for a tax whose Festsetzungsfrist (assessment period) has not yet expired. An open assessment keeps the documents in scope.

The change to 8 years. Buchungsbelege used to sit in the 10-year group. Art. 97 § 19a Abs. 2 EGAO applies the version of § 147 Abs. 3 in force from 1 January 2025 to all documents whose period under the old version had not expired by 31 December 2024. Banks, insurers and securities institutions keep the old rule (Abs. 3); creators are not in that group.

Invoices. § 14b Abs. 1 UStG requires a business to keep a copy of each invoice it issues and every invoice it receives for eight years, from the end of the calendar year the invoice was issued. It leaves § 147 Abs. 3 AO untouched, so the open-assessment rule still applies.

Digital copies. § 147 Abs. 2 allows most documents to be kept as an image or on a data carrier, if the copy matches the original and can be made readable and machine-evaluated at any time during the period. Annual financial statements and the opening balance sheet are among the exceptions.

Worked example: one 2025 receipt in three countries

A creator buys a microphone on 10 June 2025 and keeps the receipt. When is the earliest date each country's main rule lets them discard it? Every date below follows from the rules above and can be recomputed. It assumes no unreported income, no fraud, no open enquiry and nothing else that extends the period.

UNITED STATES: 2025 RETURN
Receipt date10 Jun 2025
Return due15 Apr 2026
filed by then: counts as15 Apr 2026
Plus 3 years15 Apr 2029
Filed on extension 15 Oct 202615 Oct 2029
Income left out over 25%: 6 years15 Apr 2032

The due date and the six-month extension come from the IRS When to file page. If the microphone is equipment you depreciate, keep the receipt until the period runs out for the year you sell or scrap it.

UNITED KINGDOM: TAX YEAR 2025 TO 2026
Receipt date10 Jun 2025
Tax year6 Apr 2025 to 5 Apr 2026
Submission deadline31 Jan 2027
Plus 5 years31 Jan 2032
Keep until at least the end of January 2032
VAT-registered: 6 years for VAT records

The UK clock follows the tax year, not the calendar year. A receipt dated 10 March 2025 falls in 2024 to 2025, with a 31 January 2026 deadline, so it can go a year earlier: after January 2031.

GERMANY: BUCHUNGSBELEG
Receipt date10 Jun 2025
Period starts31 Dec 2025
Plus 8 years31 Dec 2033
Earliest discard1 Jan 2034
Records of 2025 (10 years)1 Jan 2036
Business letter from 2025 (6 years)1 Jan 2032

German discard dates hold only if no assessment for which the receipt matters is still open.

German transition example. A receipt from 2016 started counting on 31 December 2016. Under the old 10-year rule it would have run to 31 December 2026. That had not expired by 31 December 2024, so the 8-year rule applies instead, and the period ended on 31 December 2024, again subject to any open assessment.

Which creator records should you keep?

This is a checklist of what to file, built from the record lists above. It does not describe how any platform stores or deletes your statements; download your own copies.

  1. Platform payout statements and earnings reports: the record of each amount received. Match them to the bank deposit.
  2. Tax forms from platforms and agencies: Forms 1099-NEC and 1099-MISC are named as gross receipts documents in Pub. 583. Keep any form you receive with that year's records.
  3. Brand deal contracts, invoices and payment remittances: the invoice proves the income; the contract shows what it was for. Germany: your copy of each issued invoice, 8 years.
  4. Gifted product records: what arrived, from whom, when, and the value you used. Whether it counts as income is covered in are gifted products taxable.
  5. Equipment receipts: cameras, lights, microphones, computers. US: until the period ends for the year you dispose of them.
  6. Expense receipts and bank or card statements: a statement proves payment, the receipt proves what was bought.
  7. Mileage log (US): date, destination, purpose and miles for each business trip, and total miles for the year. None of the UK or German pages read for this guide sets a separate period for one.
  8. Your filed returns and the workings behind them, including the calculations behind any estimated tax payments.

Frequently asked questions

Can I keep digital copies of receipts instead of paper?

The US applies the same requirements to electronic storage systems as to paper. UK law lets records be kept in any form and by any means, though a few listed kinds of record must be kept themselves, not just the information in them. Germany allows image or data copies of most documents if they match the original and stay readable and machine-evaluable for the whole period.

How long should I keep my 1099 forms?

The IRS sets no separate period for them. Forms 1099-NEC and 1099-MISC support income on your return, so keep them as long as that return's records: generally 3 years after filing, 6 if income over 25% of gross income shown was left out.

Is the German retention period for receipts 8 or 10 years?

8 years for Buchungsbelege, since the version of § 147 AO in force from 1 January 2025, and 10 years for books, records and annual statements. The 8 years also cover older receipts whose period had not run out by 31 December 2024.

What happens if I throw records away too early in the UK?

You can be liable to a penalty of up to £3,000 for the year under section 12B of the Taxes Management Act 1970, and you may have to provide estimated figures for the return.
